Medanta – The Medicity

The Medicity is one of India’s largest multi-super specialty institutes located in Gurgaon, a bustling town in the National Capital Region. Founded by eminent cardiac surgeon, Dr. Naresh Trehan, the institution has been envisioned with the aim of bringing to India the highest standards of medical care along with clinical research, education and training.

Spread across 43 acres, the institute includes a research center, medical and nursing school. It has 1250 beds including 350 critical care beds and 45 operation theatres catering to over 20 specialties. Medanta houses six centers of excellence which will provide medical intelligentsia with cutting-edge technology and state-of-the-art infrastructure, supported by a well-integrated and comprehensive information system. Medanta is today 2900 strong, growing exponentially, with all employees working out of a single location.

Business challenges foreseen

It is critical to have real-time visibility into the workforce, since in the healthcare sector, employees are the most critical asset and also one of the largest components of costs. Hence, right from its inception, Medanta realized the importance of having a real-time visibility into the workforce that needs to work 24x7. For Medanta, it was critical to make sure that the right set of people were available at the right place and the right time. Medanta understood that.

Medanta being a green field healthcare provider and having the core team in place, had envisaged the system to face the anticipated industry challenges and to be future-ready. Hence, the team kept workforce management requirements at the top while selecting various automation solutions for running the hospital. They knew that with the start of the hospital, the employee size would exponentially grow. It would be critical keeping track of employees — everyone from physicians to nurses and other support staff. Also managing the payroll of all categories of employees with varying pay rules, leave rules and schedules would be a huge challenge and a task for HR.

Kronos Workforce Central delivers business benefits

The diversity in the workforce in a healthcare organization requires an enormous effort and flexibility of the system to handle different kinds of employees and rules associated with them with respect to pay packages and accruals. They have to consider doctors, nurses and paramedics, who all demand different rules to be considered before processing the payroll.

With the Kronos Workforce Central suite solution, Medanta has achieved the benefits it had hoped for. There has been an almost negligible degree of payroll leakage due to accuracy of information and availability of the same on a real time basis. Hence, it reduced the efforts of generating payroll data as it is seamlessly integrated, thereby, reducing the efforts of the HR department to reconcile data from multiple systems. Also, the availability of real time information has helped managers to take informed and quicker decisions which can be critical in a healthcare environment.

Medanta has also utilized the capabilities of the Kronos 4500 terminals to provide simple ATM like kiosk based self-service to nursing and paramedical staff. It has brought in transparency into the system. Employees can view their punch details, view leave balance, apply for leave and do more. This has also potentially helped in the cause of improving employee motivation.


Way forward

After achieving the first milestone i.e. automating the workforce management processes, Medanta is now evaluating the Kronos Workforce Scheduling tool. The Kronos Workforce Scheduling tool will use the forecast census and acuity provided and generates the most optimal schedule for nursing and paramedical staff. This will help the organization to improve the deployment and deliver more with less by reducing areas of understaffing and overstaffing. The solution will empower Medanta’s supervisors/nursing managers to generate system- prompted schedules considering all the organizational rules, policies, patient census and acuity to auto-generate schedules for employees as per demand.
